Terms & Conditions: Effective 1 July 2020

This contract as outlined below sets the terms and conditions under which the Event Organiser will provide the endurance cycling event, Pedal4Prostate detailed below.


“Conditions” means these Terms and Conditions of entry for the Event.

“Entry Form” means the website pages which must be completed in order to participate in the Event.

“Event” means the event Pedal4Prostate.

“Entry Fee” means the price of entry into the Event as set out in the Entry Form.

“Event Information” means information provided by the Event Organiser in relation to the Event.

“Event Organiser” means Prostate Cancer Foundation of New Zealand who are contactable via events@prostate.org.nz

“Participant” means the persons named on the Entry Form who will be participating in the Event. 

  1. Acceptance of Conditions

1.1          All parties in the event (the participants) shall be deemed to have accepted these terms and conditions upon completion of the online entry form. 

  1. Definition and Interpretation

2.1          Pedal4Prostate is a one-day endurance cycling event over a 2.7km circuit at Hampton Downs Motor Sport Park for the duration of four hours.

2.2          The event is in support of the Prostate Cancer Foundation of New Zealand Inc.

2.3          The event will take place on the Sunday 8th November 2020 at Hampton Downs Motor Sport Park in New Zealand.

2.4          The event is open to individual riders and teams, with a special schools registration. Teams can consist of four participants or two participants.

2.5          Event categories for Pedal4Prostate consist of General, E-Bike and Over 60s.

2.5.1      To participate in the E-bike category, all riders within a team/group must use an E-bike.

2.5.2      To participate in the Over 60s category, any rider (individual or team) must be at least 60 years of age.

2.6          One participant from each team will be expected to be on the track at all times for the duration of the four hours and every team member must ride for a minimum of 30 minutes

2.6.1      In the event of an injury during the race meaning a team member is unable to complete, the event organisers will accept the results from the remaining team members.

2.7         Individuals riding in the event must be on the track 4 hours (excluding occasional pit stops). Individuals may enter the event as part of a larger group. Groups must consist of 2 or more individual riders.

2.8         Each participant is expected to fundraise prior to the event with all funds to go to the Prostate Cancer Foundation of New Zealand Inc.

2.9         All pricing is displayed in New Zealand dollars (NZD). 

  1. Application

3.1         To be eligible to enter, participants must be over the age of 13 years.

3.2         Entries will be made online via a micro site hosted on https://pedal4prostate.org.nz

3.3         Participants must be entered and paid for in full at the time of entry.

3.4          Once an entry is confirmed it cannot be refunded but may be transferred to another participant (see clause 4.5.1).

3.5         The participant will not be eligible to participate until payment has been received as cleared funds.

  1. Variations and Amendments

4.1         In the event of inclement weather conditions the event organiser reserves the right to modify or cancel the event.

4.2         The decision to modify or cancel the event will be made in conjunction with safety experts and the decision is final.

4.3          In the case of a forfeited entry or cancelled event the entry fee will not be refunded or transferable to another event held by the event organiser (unless cancellation is in response to changes in COVID-19 Alert Level Restrictions, in which case a full refund will be available). 

4.4          The event organiser reserves the right to alter the start time. If the start time is altered, the event organiser will inform participants as soon as practicably possible.

4.5          If the participant needs to withdraw from the event, the entry fee will not be refunded, and the team must register a new member.

4.5.1      The withdrawing and replacing participants must give the event organiser written notice via email to events@prostate.org.nz no less than 10 consecutive business days prior to the event date. 

  1. Participant’s Obligations
    5.1 The participant shall agree to:

5.1.1           His/her appearance in the event being filmed, recorded, photographed and used for promotional purposes and displayed where the event organiser sees relevant, relating to the event and future events, including online website and social media. Note: The Event Organiser will take every step to respect the privacy of minors and will obtain parental permission where possible.  

5.1.2           The reproduction of their name, likeness, appearance and photographs used for publicity and commercial rights relating to the event and future events.

5.1.3          Abide by the timings set out by the event organiser for the event.

5.1.4          Cooperate with instructions from marshals and event staff.

5.1.5          Wear a helmet at all times whilst on the track.

5.1.6          Provide their own bike and arrange transport to and from the event.

5.1.7          Arrange own accommodation if travelling from out of town.

5.1.8          Timing strips must be worn at all time while on the track, riding without a timing strip may result in disqualification.

5.2              The participant acknowledges that the event is physically strenuous and agrees that they are physically capable in competing and has no pre-existing medical condition the event organiser should be made aware of.

  1. General Terms and Conditions

6.1          The event organiser will take no liability for any stolen goods or damage to bikes or equipment throughout the duration of the event.

6.2          The event organiser, its officers, employees, agents, affiliates, sponsors or medical advisers will not be held responsible for any injury or illness that the participant may suffer as a result of participation in the event.

6.3          The event organiser takes your safety and the reputation of the event very seriously. Emergency teams will be on hand at all times during the event. You will be expected to follow all instructions of event staff at all times.

6.4          You will receive a race pack at the point of registration. This pack will include your race tag and timing strip and must be collected at the registrations tent at least 60 minutes prior to the event starting.

6.5         You may receive emails from the Prostate Cancer Foundation or the sponsors of the event. You will be able to unsubscribe from these emails at any time.

6.6         Prizegiving and post-event hospitality will be held at the end of the event and will be quick, and well organised. 

6.7         If the winner of any prize is under the age of 18 years the prize may still be awarded, at the absolute discretion of the organizer.
